This policy explains how Sergei Crawford, doing business as Crawford Notary, handles information connected with CrawfordNotary.com and requested notarial services.
Information collected
Depending on how you use the service, information may include:
- contact details and the language in which you choose to communicate;
- appointment, signer, witness, and service information;
- electronic documents and identification submitted through Notary Hub for electronic notarization;
- documents, original filenames, full name, email address, and any optional phone number, reference, or message submitted through Secure Document Upload when requested;
- a Manhattan service address and scheduling details submitted through Square for a mobile appointment;
- payment and transaction records;
- electronic-notarization identity-verification results;
- the journal entry and audio-video record required for an electronic act; and
- basic website logs and security data;
- optional website analytics data, when you allow analytics, such as public pages viewed, referral sources, basic device and browser information, and clicks on contact or booking links.
Do not send identification or sensitive documents by ordinary email or through a public contact form.
Why information is used
Information is used to respond to inquiries, review and schedule requests, verify identity, perform and document notarial acts, process payment, prevent fraud, secure the service, meet legal obligations, and resolve disputes.
With your permission, website analytics is also used to understand how visitors find the website and use its public pages and contact options.
Notary Hub and Square
Notary Hub is used for electronic notarization. It may process uploaded documents, identification and verification information, appointment details, payment, audio-video communications, and records needed for the electronic act. Its own privacy policy applies.
Square is used for Manhattan mobile scheduling, the service address, the $50 mobile appointment and travel payment, and—after completed paper notarial acts—optional contactless card payment of their separate fees. When you follow the Square booking link, you leave CrawfordNotary.com. Square may receive technical, device, cookie, appointment, and payment information under Square’s privacy notice. CrawfordNotary.com does not embed the Square appointment tool or set Square cookies. Do not upload notarial documents or identification to Square.
Secure Document Upload
Secure Document Upload is used only when I ask a client to send an advance copy or supporting material directly to Crawford Notary outside Notary Hub. Files, original filenames, and the contact details entered in the form are encrypted in the client’s browser before leaving the device. A private AWS environment temporarily stores the encrypted package. The private owner key needed to decrypt it is not sent to WordPress or AWS.
The encrypted cloud copy is scheduled for automatic deletion within 72 hours and is deleted earlier after download begins. This deletion schedule applies to the temporary encrypted cloud package. Any working copy downloaded for the requested review, and any business or notarial record that must be retained, follows the general retention rules below.
Secure upload does not book or confirm an appointment and does not replace Notary Hub for electronic notarization. Do not upload identification unless I specifically request it. Secure Document Upload is not used for website analytics, advertising, or session recording.
Crawford Notary may also use providers for website hosting, business email, encrypted storage, communications, security, and delivery. Those providers process information under their own privacy notices and service terms.
Cookies and browser storage
With your permission, CrawfordNotary.com uses Google Analytics to understand visits to public pages, sources of website traffic, and clicks on phone, text-message, and appointment links. These clicks do not tell us whether a call connected or an appointment was completed. Google processes technical information about your visit and uses analytics cookies when analytics is allowed. Learn how Google uses information from sites that use its services.
Optional analytics is off until you choose to allow it. You may decline it or change your choice through Analytics preferences. Your choice is stored in your browser so the website can remember it. We do not use Google Analytics advertising personalization or Google Signals.
We do not send document contents, uploaded files, identification, or information entered in contact forms to Google Analytics. Analytics is not installed on Secure Document Upload or WordPress login and administration pages. We do not use session-recording tools.
WordPress may use strictly necessary cookies on login and administration pages for authentication, security, and testing. These are not used to track public visitors. WordPress may also use temporary browser storage to test emoji display support.
Notary Hub, Square, and other external websites may use their own cookies and similar technologies after you follow a link and leave CrawfordNotary.com. Their privacy notices then apply.
Retention
Contact information, downloaded working copies, and other business records held directly by Crawford Notary are kept only as long as reasonably necessary for the requested review or service, legal compliance, security, accounting, or disputes. Temporary encrypted Secure Document Upload packages follow the shorter deletion schedule described above. New York electronic-notary journal entries and audio-video recordings are retained for at least ten years as required by law.
Sharing
Information is not sold or shared for cross-context behavioral advertising. It may be shared with a service provider supporting the requested service, with a recipient or delivery service at your direction, when required by law, or when reasonably necessary to protect rights, safety, and security.
Security
Reasonable administrative and technical safeguards are used, but no online system can promise absolute security. Protect appointment links, account credentials, and completed electronic files.
Your choices
You may ask about, correct, or request deletion of information held directly by Crawford Notary. Information held by Notary Hub or Square may also be subject to those providers’ request procedures. A request may be limited when records must be retained by law or are needed for identity verification, security, accounting, or legal claims.
Send privacy questions to sergei@crawfordnotary.com with the subject “Privacy Request.” Do not attach sensitive identification until a secure verification method is provided.
