Privacy Policy

This policy explains how Sergei Crawford, doing business as Crawford Notary, handles information connected with CrawfordNotary.com and requested notarial services.

Information collected

Depending on how you use the service, information may include:

  • contact details and language preference;
  • appointment, signer, witness, and service information;
  • electronic documents and identification submitted through Notary Hub for electronic notarization;
  • a Manhattan service address and scheduling details submitted through Square for a mobile appointment;
  • payment and transaction records;
  • electronic-notarization identity-verification results;
  • the journal entry and audio-video record required for an electronic act; and
  • basic website logs and security data.

Do not send identification or sensitive documents by ordinary email or through a public contact form.

Why information is used

Information is used to respond to inquiries, review and schedule requests, verify identity, perform and document notarial acts, process payment, prevent fraud, secure the service, meet legal obligations, and resolve disputes.

Notary Hub and Square

Notary Hub is used for electronic notarization. It may process uploaded documents, identification and verification information, appointment details, payment, audio-video communications, and records needed for the electronic act. Its own privacy policy applies.

Square is used for Manhattan mobile scheduling, the service address, the $50 mobile payment, and—after completed paper notarial acts—optional contactless card payment of their separate fees. The embedded Square appointment tool may receive technical, device, cookie, and payment information under Square’s privacy notice. Do not upload notarial documents or identification to Square.

Crawford Notary may also use providers for website hosting, business email, storage, communications, analytics, security, and delivery. Those providers process information under their own privacy notices and service terms.

Retention

Contact and business records are kept only as long as reasonably necessary for the purpose collected, legal compliance, security, accounting, or disputes. New York electronic-notary journal entries and audio-video recordings are retained for at least ten years as required by law.

Sharing

Information is not sold. It may be shared with a service provider supporting the requested service, with a recipient or delivery service at your direction, when required by law, or when reasonably necessary to protect rights, safety, and security.

Security

Reasonable administrative and technical safeguards are used, but no online system can promise absolute security. Protect appointment links, account credentials, and completed electronic files.

Your choices

You may ask about, correct, or request deletion of information held directly by Crawford Notary. Information held by Notary Hub or Square may also be subject to those providers’ request procedures. A request may be limited when records must be retained by law or are needed for identity verification, security, accounting, or legal claims.

Send privacy questions to sergei@crawfordnotary.com with the subject “Privacy Request.” Do not attach sensitive identification until a secure verification method is provided.
