Terms of Use and Service

Last updated: September 10, 2026

These terms govern CrawfordNotary.com and service requests made to Sergei Crawford, an individual doing business as Crawford Notary. By using the site or confirming an appointment, you agree to the terms in effect at that time.

General information only

The site explains notarial procedure and administrative apostille submission steps. It does not provide legal, immigration, tax, financial, translation, or document-preparation advice and does not create an attorney-client or advisory relationship.

A request is not a guarantee

Submitting information, receiving a quote, making a payment, or reserving a time does not guarantee that a notarial act will be completed. The final decision is made at the appointment after identity, willingness, awareness, direct communication, the document, certificate, witnesses, technology, safety, fraud-prevention, and legal requirements are considered.

Your responsibilities

You are responsible for obtaining the correct document and instructions from an authorized source; confirming the required notarial act, certificate, witnesses, and acceptable format; providing accurate information; presenting acceptable identification; protecting secure links; and appearing on time with every required signer and witness.

Booking and payment

Notary Hub handles document upload, identity verification, scheduling, and payment for electronic notarization. Square handles Manhattan mobile scheduling, the service address, and the separate $50 mobile appointment and travel payment. This is a non-notarial service that reserves appointment time and travel availability for a Manhattan visit; it is separate from New York statutory notarial fees. After completed paper notarial acts, their statutory fees may be paid by contactless card through Square or in cash.

Electronic, traditional, mobile, waiting, parking, toll, delivery, and papering-out charges are disclosed on the Pricing page and in the applicable booking information. A changed document or appointment may affect eligibility or price. Tips are not requested or accepted.

Mobile waiting time

The first 15 minutes of client-side waiting are included. If I cannot begin or continue because of lack of access or client-side readiness, additional reserved waiting time is $15 per additional 15 minutes when disclosed in advance. Time spent performing notarial acts is not billed as waiting time.

Mobile cancellation policy

Cancel or reschedule at least three hours before the appointment for a full refund of the prepaid $50 mobile appointment and travel fee. After that cutoff, the prepaid fee is not refunded when the visit cannot take place because of a late cancellation, no-show, unavailable signer or witness, lack of access, or another client-side issue, because appointment time and travel availability were reserved. No statutory notarial fee is charged for an act that was not performed. If I cancel or cannot make the visit for a reason on my side, you may choose a full refund or a new appointment.

Apostille processing

Apostille processing is a separate administrative service, not the issuance of an apostille by Crawford Notary. The competent state or federal authority decides whether to issue it. Service scope, required documents, government costs, separate notarial acts, and delivery arrangements are confirmed before work begins. You obtain any required replacement or official certified records; I do not provide consular legalization or translations.

For paid standard and rush apostille service, the +$50 additional-document rate applies only to documents submitted together with the first document through the same processing route: the same government offices and required certification steps. Documents requiring a different route are priced separately, with the cost agreed before work begins.

Standard and rush options are described on the apostille service page. Estimates depend on the complete document package, certifications, office processing, and delivery. Same-day or next-business-day handling is conditional on readiness and a government route entirely within Manhattan; it does not apply to mail transit, other-state processing, or federal documents. Foreign acceptance is not guaranteed, and the recipient’s requirements remain your responsibility. Completion includes the agreed return delivery, not merely submission to an office.

The three-hour cancellation rule above concerns the separate Manhattan mobile notary appointment; it is not an apostille cancellation policy. Any apostille-specific cancellation and expense arrangements must be agreed before you authorize work.

Electronic notarization

An online appointment takes place through Notary Hub and requires its approved technology, identity verification, and direct audio-video communication. I must be physically in New York. A signer abroad must satisfy New York’s required connection to the United States. The original result is electronic; changing the completed file may invalidate the act.

Third-party services

Notary Hub and Square are independent service providers. Their own terms, privacy notices, eligibility rules, payment procedures, and technical requirements also apply. Hosting, email, storage, communication, security, and delivery providers may also be used. Availability of an embedded or linked third-party service cannot be guaranteed.

No promise of acceptance

Notarization does not prove a document is true, lawful, enforceable, or suitable. The recipient decides whether to accept an electronic, printed, or papered-out record.

Free Community Notary

Every Crawford Notary service provided through Free Community Notary is free. The program is available when the requested notarial act or document submitted for apostille is connected with an immigration, asylum, refugee-resettlement, naturalization, or citizenship matter, regardless of the participant’s citizenship or immigration status. It is also available when financial hardship would make Crawford Notary fees a barrier. No proof of income, citizenship, or immigration status is requested; requests are accepted on the honor system. For apostille assistance, government fees and actual postage, including USPS Priority Mail return delivery, remain payable by the participant and are agreed in advance. Necessary notarial acts and my administrative work are free. The program also offers free procedural guidance for self-filing; participants pay the relevant organizations directly. Actual mailing or courier charges requested by the participant are third-party costs rather than Crawford Notary fees. Ordinary notarial requirements and these terms still apply. Large or recurring requests may be divided into reasonable appointments so the program remains available to others.

Changes and contact

These terms may be updated for future use. Questions may be sent to sergei@crawfordnotary.com without attachments.
